Every venue owner who runs bookings through chat has lived the double booking scene. Saturday, 7pm, two groups warming up on the same court, both holding a screenshot of your staff saying "okay po, confirmed." Somebody gets bumped, somebody gets refunded, and everybody trusts your venue a little less.
Owners file it under bad luck or careless staff. It is neither. It is a system failure with a precise anatomy, and once you see the chain, you can break it.
How does one slot get sold twice?
The sequence is almost always some version of this:
- Two conversations, one slot. Group A asks for Saturday 7pm in Messenger. Group B asks for the same slot in a different thread, by walk in, or by text to your other staff member.
- Two people say yes. Your morning staff confirms Group A. Your evening staff, who never saw that thread, confirms Group B. Both answers were honest. Both came from a different picture of the calendar.
- The paper record lags. The notebook gets updated at the end of a shift, or when someone remembers. In the gap between "confirmed in chat" and "written on paper," the slot looks open to everyone.
- Nobody notices until game time. There is no step where the two confirmations can collide before Saturday. The court itself is the error message.
Notice what is missing from that chain: carelessness. Everyone did their job. The system simply allows two yeses for one slot, so eventually it produces two yeses for one slot.
Why can't chat plus paper be patched?
The usual fixes are rules. Only one person confirms. Always check the notebook first. These help, and they all decay, because they depend on humans doing an extra manual step during the busiest hours of the day, forever.
The deeper problem is that chat and paper are two records with no connection between them. Nothing forces them to agree, and any system with two sources of truth eventually disagrees with itself. The disagreement is always discovered by a paying customer, and it is only one line in the full bill chat based booking runs up.
The fix: a held slot cannot be sold twice
The only durable fix is structural. One live calendar that every booking must pass through. When Group A takes Saturday 7pm, the slot changes state: it is held, and Group B never sees it as available in the first place.
That single property deletes the whole failure chain. Confirmation is the record, so there is no lag, and no second staff member with an outdated picture. What is a double booking really worth?
The refund is the small cost. Say a bumped booking costs you ₱500 plus a comped session, as an example. The real damage is that both groups now double confirm every future booking and mention the mix up to their club mates.
